Admin Staff (HR-Focused)

Job Summary

The Admin Staff (HR-Focused) is responsible for supporting the day-to-day human resource and administrative functions of the company. This role ensures efficient recruitment, proper documentation of employee records, compliance with company policies, and accurate payroll coordination.

The position plays a key role in maintaining workforce organization, particularly in a construction environment with project-based manpower. The ideal candidate is organized, detail-oriented, and capable of handling confidential information with professionalism.

Key Responsibilities

Recruitment & Onboarding

  • Assist in sourcing, screening, and scheduling applicants for both skilled and unskilled construction manpower.
  • Coordinate with project managers and site engineers regarding manpower requirements.
  • Prepare pre-employment requirements and ensure completeness of employee documents.
  • Facilitate onboarding and orientation of new hires, ensuring a smooth transition into the company.

Employee Documentation & Contracts

  • Prepare, issue, and monitor employment contracts, job offers, and appointment letters.
  • Maintain and update employee 201 files and ensure all records are accurate and complete.
  • Track contract renewals, probationary periods, and regularization schedules.
  • Ensure compliance with company documentation standards and government-mandated requirements.

Timekeeping & Payroll Support

  • Collect, verify, and consolidate daily time records (DTR) from project sites and office staff.
  • Coordinate with the finance team to ensure accurate and timely payroll processing.
  • Compute overtime, deductions, absences, and leave credits in accordance with company policy.
  • Address payroll-related queries from employees promptly and professionally.

Employee Relations & Compliance

  • Assist in implementing company policies, procedures, and HR guidelines consistently across all departments.
  • Support the processing of disciplinary actions including notices, hearings, and documentation.
  • Help address employee concerns, grievances, and requests in a fair and timely manner.
  • Ensure all HR practices comply with applicable labor laws and statutory requirements.

Government Mandatories & Benefits

  • Process and monitor statutory contributions such as SSS, PhilHealth, Pag-IBIG, and BIR withholding tax.
  • Assist employees with benefit claims, loan applications, and related government transactions.
  • Maintain updated records of all employee government numbers and registration documents.
  • Coordinate with government agencies for compliance reporting and submissions.

General Administrative Support

  • Manage HR correspondence, memos, notices, and internal communications.
  • Maintain organized filing systems (both physical and digital) for all HR and admin records.
  • Assist in preparing HR reports, headcount summaries, and manpower deployment schedules.
  • Perform other administrative duties as assigned by the Admin Manager or HR Manager.

Qualifications

  • Bachelor’s degree in HR Management, Business Admin, or a related field
  • At least 1–2 years of experience in HR or administrative work
  • Knowledge of Philippine Labor Laws and statutory compliance
  • Experience in the construction or project-based industry is an advantage
  • Proficiency in MS Office (Word, Excel, Outlook)
  • Strong attention to detail and organizational skills

Excellent written and verbal communication skills. Ability to handle confidential information with discretion

Work Conditions & Note

This position may require occasional visits to construction project sites to coordinate manpower documentation, conduct headcounts, or assist with on-site employee concerns.

The role operates in a fast-paced environment where managing multiple tasks and deadlines simultaneously is expected. Candidates must be adaptable, proactive, and comfortable working both independently and as part of a team.
