The Admin Assistant will provide efficient and professional day-to-day administrative support to the team and management. This role is ideal for a detail-oriented, proactive individual who thrives in a fast-paced office environment and takes pride in keeping operations running smoothly.
The successful candidate will be the backbone of the office, handling correspondence, scheduling, document management, and general office support across departments.
- Manage day-to-day office operations including filing, correspondence, and scheduling
- Prepare and format documents, reports, presentations, and spreadsheets using MS Office Suite
- Handle incoming calls, emails, and visitor management in a professional manner
- Maintain and update physical and digital filing systems and databases
- Coordinate meetings, appointments, and travel arrangements for management
- Process purchase requests, invoices, and expense reports in coordination with finance
- Assist in organising company events, meetings, and conferences
- Liaise with suppliers, service providers, and internal departments for daily operational needs
- Support HR functions including onboarding documentation and staff attendance records
- Monitor and replenish office supplies and stationery inventory
- Ensure office space is well-maintained and organised at all times
- Draft letters, memos, and internal communications on behalf of management
- Handle confidential information with the highest level of discretion and professionalism
Education & Experience
- Diploma or Bachelor’s Degree in Business Administration, Office Management, or a related field
- Minimum 1–3 years of experience in an administrative or secretarial role
- Experience in Qatar or the GCC region is a strong advantage
Skills & Competencies
- Excellent command of English — written and spoken; Arabic is an added advantage
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Google Workspace
- Strong organisational and multitasking skills with great attention to detail
- Professional communication and interpersonal skills
- Ability to handle sensitive information with confidentiality and integrity
- Proactive, reliable, and able to work independently with minimal supervision

The Administration Manager will oversee and manage all administrative operations across the organisation, ensuring maximum efficiency, compliance, and staff productivity. This is a senior leadership role requiring strategic thinking, strong people management skills, and extensive experience in corporate administration.
Reporting directly to the General Manager or Director, the Admin Manager will play a critical role in establishing and maintaining administrative policies, workflows, and systems across the company.
- Plan, direct, and coordinate all administrative services including facilities, records, and office operations
- Lead, mentor, and manage the administrative team across all departments and sites
- Develop and implement administrative policies, procedures, and standard operating procedures (SOPs)
- Oversee document management systems, ensuring accuracy, accessibility, and confidentiality of records
- Manage office budgets, cost control, and procurement of office supplies and services
- Coordinate with HR for recruitment support, onboarding logistics, and personnel file management
- Supervise facilities management including maintenance, cleaning, and office layout planning
- Liaise with government authorities for visa processing, trade license renewals, and regulatory compliance
- Organise and coordinate high-level meetings, board sessions, conferences, and corporate events
- Manage executive travel arrangements, accommodation, and logistics for senior management
- Develop and monitor KPIs for the administrative team and produce regular performance reports
- Ensure all administrative processes comply with Qatar Labour Law and company policies
- Evaluate and implement new administrative technologies and systems to improve efficiency
- Act as a key point of contact between management and all departments for administrative matters
- Handle sensitive corporate documentation, contracts, and agreements with full confidentiality
Education & Certification
- Bachelor’s Degree in Business Administration, Management, or a related discipline (Master’s preferred)
- Professional certifications in Administration or Management (e.g., CAP, CPS, PMP) are an advantage
- Training in Qatar Labour Law and GCC regulatory compliance is desirable
Experience
- Minimum 5–8 years of progressive experience in administration, with at least 2–3 years in a managerial role
- Proven track record of managing large admin teams across multi-department organisations
- Prior experience in Qatar or the GCC region is strongly preferred
- Experience in liaison with Qatar government authorities (MOCI, MDPS, MoL, etc.) is a strong advantage
Skills & Competencies
- Exceptional leadership, communication, and organisational skills
- Excellent command of English; Arabic language skills are a strong advantage
- Advanced proficiency in MS Office Suite, ERP systems, and document management platforms
- Strong budget management, vendor negotiation, and cost optimisation skills
- Ability to handle high-pressure situations and multiple priorities simultaneously
- High level of professionalism, integrity, and attention to detail
